E-folio Safeguarding & Online Safety Policy

This Safeguarding & Online Safety Policy explains how E-folio, operated by Earniversity Ltd, approaches safeguarding, online safety, and responsible use of the platform, particularly for children and young people.
E-folio is a digital portfolio and learning tool used by learners, educators, and organisations. While E-folio provides guidance, review processes, and reporting mechanisms, it is not a replacement for parental, educational, or institutional safeguarding responsibilities.
1. Our Commitment to Safeguarding
Earniversity Ltd is committed to promoting safe, responsible, and appropriate use of E-folio.
We recognise that many users are under the age of 18 and that safeguarding is a shared responsibility between:
- the learner
- parents or legal guardians
- schools, colleges, councils, or organisations
- E-folio as a platform provider
Our approach is based on transparency, guidance, proportionate oversight, and shared responsibility, rather than constant monitoring or pre-approval of content.
2. Scope of This Policy
This policy applies to:
- all E-folio users
- learners under 18
- educators and organisations deploying E-folio
- parents and guardians
- public viewers of E-folio pages
It should be read alongside:
- the E-folio Terms of Service
- the E-folio Privacy Policy
- any safeguarding policies held by partner institutions
3. Nature of the Platform
E-folio allows users to:
- create digital portfolios
- upload content (text, images, video, documents)
- share links publicly or privately
- present achievements, skills, and work
- enable contact or downloads at their discretion
E-folio:
- supports professional and responsible sharing
- provides privacy controls and reporting tools
E-folio does not:
- pre-approve all user content
- provide real-time or continuous monitoring
- guarantee prevention of copying, screenshots, downloads, or sharing
- act as a supervisory or statutory safeguarding authority
4. Responsibilities
4.1 Learners
Learners are expected to:
- use the platform responsibly and respectfully
- avoid sharing sensitive personal information publicly
- ensure content is appropriate for their age and audience
- report content that feels unsafe, inappropriate, or concerning
4.2 Parents & Guardians
Parents and guardians are responsible for:
- approving use of the platform for learners under 18
- guiding young people on appropriate online behaviour
- discussing what should and should not be shared publicly
- raising concerns with Earniversity or the relevant institution if needed
4.3 Schools, Colleges & Organisations
Partner organisations are responsible for:
- applying their own safeguarding and acceptable-use policies
- supervising learners in line with internal procedures
- providing guidance on appropriate content and conduct
- acting as the first point of escalation where appropriate
4.4 E-folio (Earniversity Ltd)
E-folio is responsible for:
- providing clear safeguarding guidance and policies
- offering reporting mechanisms
- applying a proportionate, light-touch review process
- responding to safeguarding concerns within a reasonable timeframe
- taking appropriate action where Terms or policies are breached
- cooperating with institutions and authorities where required by law
5. Content & Appropriate Use
Users must not upload or publish content that:
- is illegal, abusive, or sexually explicit
- exploits or endangers children or vulnerable people
- includes personal contact details that should not be public
- violates privacy or consent
- is misleading or harmful
All content remains the responsibility of the user who publishes it.
6. Public Visibility & Online Risk
Users can choose to make their E-folio public or restricted.
Public content:
- may be viewed by anyone with the link
- may be shared by others
- may be indexed by search engines
Users are encouraged to:
- use privacy controls where appropriate
- avoid sharing sensitive information
- consider the long-term visibility of public content
6A. Promotion & Affiliate Activity
Some users may choose to promote E-folio through referral or affiliate links.
Any promotional activity must remain appropriate, age-appropriate, transparent, and consistent with safeguarding expectations.
Users must not engage in misleading, pressurised, or inappropriate promotion, nor present themselves as representatives of E-folio or Earniversity Ltd.
Affiliate and promotional activity is subject to the E-folio Terms of Service and reporting processes.
7. Reporting Concerns & Review
E-folio provides tools to report:
- inappropriate content
- safeguarding concerns
- misuse of the platform
Reports are reviewed by the E-folio team within a reasonable timeframe.
This review process includes responsive handling of reported concerns and proportionate review of publicly visible content.
E-folio reserves the right to:
- remove content
- restrict access
- suspend or terminate accounts
Immediate or serious concerns should also be escalated through the learner’s school, college, or safeguarding lead.
8. Proportionate Oversight (No Continuous Monitoring)
E-folio does not conduct continuous or real-time monitoring of all user content.
Safeguarding is supported through:
- clear policies and guidance
- user reporting tools
- proportionate review of public content
- responsive action
- cooperation with partner institutions
9. Data Protection & Privacy
Safeguarding is supported by:
- data minimisation
- privacy controls
- compliance with GDPR and UK data protection law

10. Escalation & Serious Concerns
Where serious safeguarding concerns arise, E-folio may:
- restrict or suspend access
- notify the relevant institution
- cooperate with lawful requests from authorities
E-folio does not replace statutory safeguarding processes.

This policy is reviewed periodically and updated as the platform evolves or as regulatory expectations change.
